RFP Requirement

"Real-time reporting for orders, Zee/MRA fund metrics, ability to schedule and email reports, year-over-year and year-to-date comparisons."

Role-Scoped Reporting

The reporting module is not a single dashboard with visibility toggled on and off. Each role sees a purpose-built view that shows exactly the data they're entitled to in the format most useful to their role.

Role Scope What They See
Franchisee Their office(s) Own orders, Zee/MRA balances, claims history, fund usage YTD
Entity All offices they own Entity-level order volume, fund status across all offices, claims summary
Marketing All offices, all data Everything: catalog analytics, fund allocation, claims pipeline, design builder usage
Admin All offices, all data Full system reporting including user activity, vendor performance, integration health
Corporate View All offices, read-only Full reporting visibility — same data as Marketing/Admin, no fund controls
Vendor Their products and orders only Order volume for their products, status pipeline, fulfillment performance
Historical Data Incorporation

Marketing Central will incorporate historical order and fund data from Ansira, provided by Liberty in an agreed format. This enables year-over-year comparisons from launch day rather than requiring 12 months of new-platform data before trend analysis is meaningful. The data migration scope and format are subject to discovery with Liberty's team.

Franchisee Dashboard

The franchisee dashboard is the first thing a Zee sees when they log in to Marketing Central. It's designed to answer the questions they ask most often — where's my order, what's my fund balance, did my claim get processed — without requiring them to navigate to three different sections.

Fund Balance Summary

Available Zee balance, available MRA balance (if applicable), and a visual indicator of how far into the season they are — giving context for how much time remains before the March expiration. Clicking the balance summary navigates to the full fund ledger view.

Recent Orders

The last five to ten orders with current status, product name, and a quick link to order detail. An order in "Shipped" status surfaces the tracking number directly in the dashboard. Pending design reviews are flagged.

Claims Status

Open claims with current state (Submitted, Under Review, Needs Change, Approved, Paid) are surfaced in the dashboard. A Needs Change claim shows a direct action link to submit the requested documentation without requiring navigation.

YTD Fund Usage

A simple visualization showing Zee and MRA fund usage year-to-date: how much has been spent in the storefront, how much is tied up in claims, and how much remains available. Useful for franchisees managing their marketing budget through the season.

Corporate Dashboard

The corporate view provides Liberty's marketing, admin, and corporate teams with system-wide visibility into platform performance, fund utilization, and franchisee engagement. This is the data Liberty currently pieces together from multiple export files.

Fund Allocation Status

Total Zee and MRA funds allocated vs. spent vs. remaining across the entire franchise network, broken down by country, entity, and office. Includes a distribution view showing how many offices are at different utilization levels (e.g., "420 offices have used less than 20% of their Zee allocation"). Supports proactive outreach to low-utilization offices.

Order Volume & Trends

Order volume by campaign, product type, vendor, and time period. YOY comparison using historical Ansira data. Identifies which products are performing, which vendors are fulfilling reliably, and which campaigns are driving the most ordering activity. Exportable to Excel.

Custom Asset Creation

Design Builder usage data: which templates franchisees are customizing, how many customizations are going through review queues, what percentage require revision, and which offices are actively engaging with the tool vs. not.

Claims Pipeline

Total open claims by state (Submitted, Under Review, Needs Change, Approved, Pending AP), aging metrics, and reviewer workload distribution. Flags claims that have been in any state for longer than a configured threshold — preventing claims from languishing in the queue unnoticed.

User Engagement

Login frequency by role and office, most popular assets downloaded, most-ordered products, and franchisees who have not engaged with the platform in a defined period. The engagement data supports Liberty's franchise relations team in proactive outreach.

Vendor Performance

Order fulfillment times by vendor, on-time delivery rates, cancellation rates, and status update lag. Gives Liberty data to hold vendors accountable and renegotiate or replace underperforming vendors.

Scheduled Reports & Exports

Not all reporting is on-demand. Liberty's team needs regular recurring reports — weekly fund status summaries, monthly order volume reports, end-of-season reconciliation exports — delivered reliably without requiring manual action.

Scheduled Report Delivery

Reports can be configured to run on a schedule (daily, weekly, monthly, or a specific calendar date) and be emailed automatically to a configured list of recipients. Reports run server-side via CRON job and are attached as Excel, CSV, or PDF depending on the report type and recipient preference.

On-Demand Export

Any dashboard view or report can be exported on demand. Filters and date ranges applied in the UI are honored in the export. Large exports are queued server-side and delivered via email link when complete, rather than blocking the browser session.

YOY and YTD Comparisons

All time-series reports support year-over-year and year-to-date views. For the first year on Marketing Central, YOY uses the historical Ansira data Liberty provides. From year two onward, the comparison is entirely within Marketing Central's own data.

GP Reconciliation Reports

A dedicated reconciliation report compares Marketing Central's approved and paid claims records against GP's AP records. Discrepancies are flagged for manual review. This report satisfies the 5-year audit trail requirement and supports Liberty's internal audit process.

Reports for Managed Operations

The RFP specifically calls for reporting scoped to Managed Operations — MOPS, the corporate-run offices that operate distinctly from franchise-owned offices. Marketing Central treats MOPS as its own reporting scope: orders, asset usage, and order volume for managed offices roll up separately, so corporate can view MOPS performance in isolation rather than blended into the franchise network's numbers. The same role-scoped model that governs the rest of reporting applies — MOPS reporting is a defined scope, not a special-case export.

Custom & Ad-Hoc Reports

Role-scoped dashboards and scheduled exports cover Liberty's standard reporting needs out of the box. For reporting that isn't standard, Liberty Marketing and Admin users can request custom reports through a defined intake. Because Liberty owns the data model and the platform, new report types and data feeds can be added without a vendor licensing change — the data is already Liberty's to query and surface.

This extends to near-real-time data export feeds for the specific datasets the RFP lists. Each can be exported on demand or delivered on a schedule, in Excel, CSV, or PDF:

  • Zee Fund spend and availability.
  • Custom asset creation data from the Design Builder.
  • User login metrics.
  • Claims management data.

Because these feeds run against Marketing Central's own data model, near-real-time delivery does not depend on a third party assembling exports — the platform produces them directly.
